The following refunds are effective for students registering in courses with a start date of Sept. 1, 2010 to August 31, 2011.

     
5.11 Refunds: Individualized Study Course


If you formally withdraw from your individualized course according to the following criteria, you may be eligible for a refund of tuition and the learning resources fee, less a withdrawal processing fee.

The date you withdraw from your course will be the postmark on the envelope, the date the online form is received, or, if the form is hand-delivered or faxed (780.675.6174), the University date stamp. An emailed withdrawal request will not be accepted. Refunds are processed within approximately 45 days of Athabasca University's receipt of the form.

To formally withdraw from a course, you must complete and submit a Course Withdrawal Request Form. This form is included in the Forms Package of your learning resources, online, or through myAU.

Software and/or Software Access Codes

Most AU courses include software, and/or software access codes. If the packaging around the software or the software access code has been opened the software cannot be re-issued and the material should not be returned as you will not be eligible for a refund of the learning resources fee.


5.11.1


Withdrawal Date (Individualized Study)

To be eligible for one of the refunds described below, you must formally withdraw from your course either before or within 30 days after the course start date.

The date of withdrawal will be the postmark on the envelope, the date of the online submission, or, if the form is hand-delivered or faxed (780.675.6174), the University date stamp.

5.11.2


Late Withdrawals (Individualized Study)

A refund will not be issued if you withdraw more than 30 days after your course start date.


5.11.3


Learning Resources Fee Refunds (Individualized Study)

Learning resources are items such as texts, student manuals, study guides, reading files and/or other instructional materials such as software and access to online resources. The learning resources fee contributes to the development and procurement for any online resources which may be part of the course (some courses may be entirely online). This fee also covers packaging, shipping, and handling of learning resource materials. You may be required to purchase additional items to complement the course such as binders, calculators, home lab materials, etc., and these are your responsibility.

A refund of the learning resources fee will only be considered if you meet the course withdrawal criteria in 5.11.4, and the University receives the learning resources within 30 days of your withdrawal date.

You will not receive a refund for learning resources received by the University outside this time frame (late return). Note: All returned learning resources become the property of the University and will not be returned to you.

Please include your full name, address, and student identification number with any returned learning resources. Your refund will be processed according to your initial method of payment, e.g., your credit card account will be credited, a cheque will be forwarded to your current mailing address, etc. You are required to pay the postage on any returned materials.

Software and/or Software Access Codes

Most AU courses include software, and/or software access codes. If the packaging around the software or the software access code has been opened the software cannot be re-issued and the material should not be returned as you will not be eligible for a refund of the Learning Resources Fee.

 


5.11.4


Refund Levels (Individualized Study)

Refund A: Learning resources are returnable.

If you meet the course withdrawal criteria, the learning resources are able to be issued to another student (e.g., returned complete and unmarked, including any software packaging unopened) and the learning resources are received by the University within 30 days of your withdrawal date, you will receive a refund of tuition and the learning resources fee paid less the withdrawal processing fee*, for example,

$646 – *$100 = $546 (refund).

Refund B: Learning resources are non-returnable or late return.

If you meet the course withdrawal criteria but the learning resources are unable to be reissued to another student (e.g., marked, or some items are missing, or opened software packaging), or the learning resources are not received by the University within 30 days of your withdrawal date (late return),  your refund will be reduced by two deductions: the withdrawal processing fee* and the full learning resources fee**, for example,

$646 – *$100 – **$170 = $376 (refund).

5.11.5
Credit Balances (Individualized Study)

Credit balances on your account, except for students who receive financial assistance from the Alberta Student Finance Board (or another provincial program), will be refunded to you or credited to your sponsor, whichever is applicable.
