5.11 Refunds and Returns

5.11.1


Criteria

You may be eligible for a refund provided you formally withdraw from an Athabasca University undergraduate course either before the course start date or within 30 days after the course start date.  If you do not meet these criteria, and the criteria described in 5.11.5, there is no refund of tuition or learning resources fee.

To formally withdraw from a course, you must complete and submit a Course Withdrawal Request Form. This form is included in the Forms Package of the learning resources and may be mailed or faxed to the University. Alternatively,  forms are available online by logging in to myAU; link on "Withdrawing from a Course." An e-mailed withdrawal request will not be accepted.

Withdrawal Date

The date of withdrawal will be the postmark on the request or the date of the online submission. If the Course Withdrawal Request Form is hand-delivered or faxed, the University date stamp will constitute the date of withdrawal.


5.11.3


Late Withdrawals

A refund will not be issued if you withdraw more than 30 days after your course start date.


5.11.4


Learning Resources Fee Refunds

A refund of the learning resources fees will only be considered if you meet the course withdrawal criteria (refer to 5.11.5) and the University receives the learning resources within 30 days of your withdrawal date.

You will not receive a refund for learning resources received by the University outside this time frame (late return). Note: all returned learning resources become the property of the University and will not be returned to you.

Include your full name, address, and student identification number with any returned learning resources. You are required to pay the postage on any returned learning resources.

5.11.5


Refund Levels

Refund A: Learning resources are returnable.

If you meet the course withdrawal criteria, the learning resources are able to be issued to another student (e.g., returned complete and unmarked, including any software packaging unopened) and the learning resources are received by the University within 30 days of your withdrawal date, you will receive a refund of tuition and the learning resources fee paid less the withdrawal processing fee, for example,
$578 - $75 = $503.

Return the Withdrawal Request Form (if you haven't submitted it already. Refer to Section 5.11.1.) along with the learning resources to

Refund B: Learning resources are non-returnable or late return.

If you meet the course withdrawal criteria and the learning resources are unable to be reissued to another student (e.g., marked, or some items are missing, or opened software packaging), or the learning resources are not received by the University within 30 days of your withdrawal date (late return),  the full learning resources fee will be deducted from the refund, for example,
$578 - $75 - $160 = $343.

Note: software cannot be reissued if its packaging or access code have been opened.

5.11.6
Student Account Credit Balances

Credit balances on a student's account, except for students who receive financial assistance from the Alberta Student Finance Board (or another provincial program), will be refunded to you or if applicable credited to your sponsor.
