5.10. Refunds and Returns

In order to be eligible for a refund, you must meet specific criteria when you withdraw from an Athabasca University undergraduate course.

1. You must withdraw before the course start date or no later than 30 days after the course start date.

2. To withdraw from a course, please submit a Course Withdrawal Request Form included in the Forms Package of your learning resources, online, or by fax (780.675.6174) to the Office of the Registrar. An e-mailed withdrawal request will not be accepted (refer to Section 6.16. Course Withdrawal).

The date of withdrawal will be the postmark on the request, or, if the notice is hand-delivered or faxed, the University date stamp, or the date of the online submission. To receive a refund, you must include your full name, address, and student identification number with any returned material. You are required to pay the postage on any returned learning resources.

Refunds are processed 45 days after withdrawal from a course. You will not receive a refund for learning resources returned to the University outside these time frames. Returned learning resources become the property of the University.

Review the two types of refunds available to you, provided you withdraw within the timelines described.

Refund 1.
Learning Resources Undamaged.

If the learning resources package is completely unmarked, able to be issued to another student, and received by the University within 30 days of the processing of a refundable withdrawal request, you will receive a refund of tuition paid less the withdrawal processing fee (e.g., $578 - $75 = $503).

Return the Withdrawal Request Form and the learning resources package to

Refund 2.
Learning Resources Damaged, Marked, or Missing.

If the learning resources package has been damaged, marked, or some materials are missing, you will have both the withdrawal processing fee and the learning resources fee deducted from your course tuition (e.g., $578 - $75 - $160 = $343). The learning resources will remain your property and should not be returned.

Late Withdrawals

If you withdraw from a course more than 30 days after the course start date, you are not eligible for a refund. If the learning resources are returned to Athabasca University after the 30-day period by students withdrawing from a course and hoping to obtain a refund, the resources will be retained by Athabasca University, and a refund will not be issued.

Money paid by a student or sponsor cannot be held indefinitely by Athabasca University. Credit balances on a student's account, except for students who receive financial assistance from the Alberta Student Finance Board (or another provincial program), will be refunded to the student or credited to the sponsor.
